Your new role
We are seeking an experienced and adaptable Office Manager to join a high functioning team of c20+ solicitors and support staff. Your role is crucial in ensuring the smooth operation of the office, supporting all legal professionals, and contributing to the firm’s continued success. You will oversee daily office functions, manage administrative staff, and coordinate office resources as well as take on long term digitization projects and assume responsibility for risk, compliance and governance issues relating to the practice. You will liaise with the professional bodies and regulators, as well as insurance companies and 3rd party suppliers on a regular basis.
The Role:
This role would suit an office manager with legal office management or legal practice management experience, though this is not essential. It would also be ideal for office managers who have worked in a professional or regulated environment, such as a bank or accountancy practice where compliance and governance matters are monitored regularly.
There is a fantastic opportunity within the scope of this role for a longer-term project to be implemented and spearheaded by the office manager to upgrade standard processes and practices. You will have the chance to modernize and digitalize IT and case management systems over time, or introduce new, efficient processes and systems of work. This project will be supported and endorsed by the senior management team, offering a significant opportunity for professional growth and challenge in the role.
Key Responsibilities:
- Daily Operations: Oversee and streamline daily office operations, ensuring efficiency and effectiveness across all departments.
- Staff Management: Supervise and support administrative staff, including recruitment, training, and performance management.
- Resource Coordination: Manage office supplies, equipment, and facilities, ensuring that all resources are maintained and available for use.
- Client interactions: Coordinate internal events and interact with clients regarding any issues impacting the management of the practice.
- Policy and Procedure Management: Maintain and update office policies and procedures, ensuring compliance with legal and regulatory standards by keeping appropriate records.
- Financial Oversight: Prepare and manage office budgets, financial reports, and office-related expenses.
- Project Leadership (long term goal): Lead a major project to revamp office processes, modernize and digitalize case management systems, and implement efficient new practices.
What is likely to make you a success in this position?
- Proven experience as an Office Manager, preferably in a legal or professional services environment, though experience in regulated environments like banking or accountancy will also be of high interest.
- Strong organizational and multitasking skills, with a keen attention to detail.
- Excellent communication and interpersonal abilities, capable of working with diverse teams and clients.
- Proficient in office management software and Microsoft Office Suite.
- Ability to handle sensitive information with discretion and confidentiality.
- Strong problem-solving skills and a proactive approach to office management.
